5. How long do We keep Your personal data?
The period for which We retain Your personal data depends on the purpose for which it was collected. Where personal data is used for multiple purposes requiring different retention periods, We apply the longer period.
| Data category | Retention period |
|---|---|
| Account information and Project Data (projects, assessments, scores, roadmap, team membership) | While Your Account is in use, including while it is on a paid or past-due subscription. An Account that is not on a paid plan, whose subscription was cancelled or has been paused, or that was deleted, is permanently deleted 12 months after the later of Your last sign-in and the cancellation, pause or deletion date. We email You a warning at least 30 days before; signing in (or re-subscribing) before then keeps the Account. You can ask for immediate erasure at any time (see Section 8). |
| Invoicing and payment records (Portuguese law) | 10 years from the relevant transaction (payment or refund), then deleted automatically. Payment records are kept, detached from the Account, after the Account is deleted; Stripe keeps its own records as an independent obligation. |
| Methodology White Paper download logs | 5 years from the download date (for IP protection and audit), also after the Account is deleted; then deleted automatically |
| Quote requests (name, work email, role, company, message) | While linked to an Account. When there is no Account (submitted without signing in, or the Account was deleted), the contact details (name, work email, role, message) are anonymised 12 months after submission; the remaining non-personal details are kept for aggregate statistics |
| Administrative audit trail (actions taken by Our staff on an Account, including the record that an Account was deleted under this policy, with its email address) | 5 years from the action, to demonstrate compliance; then deleted automatically |
| Unconfirmed sign-ups (email address and a hash of the chosen password, held until the confirmation link is used) | Until the confirmation link expires (24 hours); unconfirmed sign-ups are then deleted within a day |
| Rate-limit counters (security) | Until the counter window ends (15 minutes to 30 days, depending on the action); expired counters are then deleted within a day |
| Commercial communications consent | Until consent is withdrawn; opt-out preferences retained indefinitely |
| Support correspondence | 36 months after the last interaction |
| Exercise or defence of a right in a judicial or extrajudicial proceeding | Until the date of the final judgment or out-of-court settlement of the relevant dispute |
After the applicable retention period, We securely delete or anonymise the data, unless We are required to retain it longer by law.
